Inefficient meetings are one of the causes of lost office productivity. When you organize and then conduct a meeting, here are some tips to follow to ensure that your meeting is productive and useful.

Before the Meeting

When scheduling the meeting, make sure it is within normal business hours for all time zones involved. Make sure to invite just those who are critical to the tasks at hand. Choose a timekeeper, scribe and facilitator and inform them of their duties. Set an agenda that can easily be covered in the time allotted for the meeting.

During the Meeting

Nothing is more irritating and time wasting than waiting to start or recapping the beginning of the meeting for latecomers. Start on time and proceed through the meeting without backing up for someone who is late. After a few on time starts, staff will learn to arrive on time to be fully included. Include visual aids but do not go overboard with redundant visuals. Make sure that off-site attendees can view your images as well. Stay true to the objective of the meeting and resist the pull to get off track.

After the Meeting

Confirm the results of the meeting with the attendees. Get the notes from the meeting scribe, edit if needed, and distribute to everyone at the meeting.
